Position Summary

The Executive Administrative Assistant provides high-level administrative, operational, and general affairs support to senior manufacturing leadership. This role goes beyond traditional administrative duties, serving as a trusted partner to executives by managing complex schedules, supporting site operations, coordinating internal and external stakeholders, and ensuring smooth execution of executive and General Affairs-related activities within a manufacturing environment.

The ideal candidate brings manufacturing industry experience, exceptional discretion, strong organizational skills, and the ability to operate confidently in a fast-paced, plant-based setting.

Key Responsibilities

Executive Support

  • Provide direct administrative support to senior leadership (Plant Manager, Director, Vice President, or equivalent).
  • Manage complex and dynamic calendars, including production-related priorities, leadership meetings, audits, and customer visits.
  • Coordinate domestic and international travel, visas, itineraries, and expense reports.
  • Prepare executive-level correspondence, reports, presentations, and meeting materials.
  • Serve as a trusted gatekeeper, handling sensitive and confidential information with the highest level of discretion.

General Affairs & Site Administration

  • Support General Affairs functions including office operations, facility coordination, travel logistics, security access, and asset tracking.
  • Act as a liaison between executives, plant operations, corporate teams, vendors, and external stakeholders.
  • Coordinate vendors and service providers related to administrative and facility services (maintenance, cleaning, catering, transportation, etc.).
  • Support logistics and planning for leadership events, town halls, site meetings, training sessions, and customer or auditor visits.

Manufacturing & Operational Support

  • Assist leadership with site-level operational coordination in a manufacturing environment, ensuring administrative readiness for production schedules and peak activity periods.
  • Support audit and inspection readiness by coordinating documents, schedules, and meeting logistics.
  • Track action items from leadership and operations meetings and follow up to ensure timely completion.

Administrative Excellence & Continuous Improvement

  • Maintain organized records, files, and documentation in compliance with company and regulatory standards.
  • Identify opportunities to improve administrative processes, communication flow, and executive support efficiency.
  • Support budgeting, purchasing requests, and expense tracking related to administrative and General Affairs activities.

Required Qualifications

  • Bachelor's Degree in Business Administration
  • 5+ years of experience as an Executive Administrative Assistant or Senior Administrative Assistant, preferably in a manufacturing or industrial environment.
  • Proven experience supporting senior-level or executive leadership.
  • Strong understanding of site-based operations and plant environments.
  • Exceptional organizational, time-management, and prioritization skills.
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • Excellent written and verbal communication skills.

Preferred Qualifications

  • Experience supporting plant leadership, operations executives, or general management.
  • Familiarity with General Affairs functions in manufacturing or global organizations.
  • Experience working in regulated environments (ISO, EHS, automotive, electronics, chemical, etc.).
  • Experience supporting global or matrixed leadership teams.
